An excellent level of commercial awareness can build and maintain relationships with internal and external guests. Acts as an ambassador for the hotel and promotes the property within the hotel industry, local community and trade associations. Working closely with the operations team, you are responsible for the execution and delivery of all events, maximizing revenue, utilization of meeting space and working to achieve or exceed the defined budgeted revenues for F&B department.

DUTIES AND RESPONSIBILITIES include but not limited to:

• Receiving, handling, and converting Meetings, Events and Group enquiries

• Presenting and selling available and suitable event options to the highest possible standard.

• Arrange and carry out Hotel show rounds.

• Ensure the complete administration and execution of all planned events.

• Negotiate space, dates and rates to obtain booking goal while focusing on shoulder and off-season business.

• Identify need periods and undertake comprehensive program of sales activity to secure new and ad hoc business minimizing the impact of low activity periods.

• Assist in development of event package plans aimed at conference and repeat business.

• Encouraging repeat business through excellent customer service and inquiry handling.

• Build strong relationships with customers to fully understand their needs.

Liaise with organizers to understand requirements for each event identifying their requirements and expectations for each event

• Listening attentively to customer requests and keeping records of these requests

• Producing detailed and accurate function sheets weekly and ensuring they are distributed

• Liaise with all necessary teams to ensure that organization & requirements are understood and possible (Layout, dietary requirements, hours, service, catering options

• Do final checks at the day of the event (e.g., tables, technology) to ensure everything meets standards

• Oversee event happenings and act quickly to resolve problems.

• Attending and monitoring activities to ensure client satisfaction.

• Post event invoicing

• Ensure the business functions use, process and store personal data in line with company policy

• Day to day event administration (emails, phone calls. etc.)

• Managing event team (rotas & time management)

• Always be up to date on latest trends.

• Each month review the next 6 months availability to highlight high or low demand dates and take steps to minimize the risk of any shortfall or overbooking.

• Ensuring all inquiries are recorded accurately in the Property Management System

• Helping the hotel to identify new avenues of business and bring in more banquet events to the hotel.

• Assist in the preparation and monitoring of sales, department and budgetary reports as and when required.

• Other duties and tasks assigned by the management.

• Quarterly KPI’s will be set by your line manager which should be filtered through your team to achieve results

Requirements

Excellent communication skills necessary.

Knowledgeable at negotiating and sales.

Confident at presenting presentations.

Must be flexible to accommodate irregular or extended hours duties.

Education: Degree or diploma in event management preferred Advanced computer skills – Knowledge of Property Management Systems

Experience:

• Experience in project management with a track record of successful events.

• Excellent organizational skills with the ability to multitask under pressure.

• Strong communication and interpersonal skills.

• Creative, out-of-the-box thinking.

• Ability to lead a team and delegate tasks effectively.
